BCP is a leading African conservation company which aims to generate sustainable conservation finance through the forest carbon markets. We are working with Community and Government partners to help improve the conservation management over 1 million hectares of globally significant wildlife habitats in Zambia, and to benefit 225,000 people. Most of the project areas are located in Game Management Areas bordering strategic National Parks in Eastern and Lusaka Province, governed by management agreements between local communities, the Government of Zambia, and BCP. BCP is recruiting for the following positions; Procurement Assistant x 1 – to be based in Lusaka and Stores and Assets Assistant-Intern Lusaka with the possibility of travel. The Procurement Assistant will be responsible for sourcing for suppliers, products, and services, drafting contracts, and ensuring that approved purchases are cost-efficient and of high quality. The position will report to the Procurement Manager.
STUFF WE’LL TRUST YOU WITH PROCUREMENT ASSISTANT.
- Generate weekly procurement reports outlining pending, completed items, and addressing arising issues.
- Manage end user requisitions using the smart sheet tracker, receiving authorized requisitions to prepare and issue Requests for Quotations/Bids/Proposals.
- Enforce and adhere to the company’s procurement policies and procedures.
- Prepare tender documents, bid matrices and single source memo for review and approval.
- Maintain and update the supplier register, including qualifications, delivery times, and product ranges.
- Issue inquiries to suppliers within the approved supplier database.
- Foster positive supplier relationships.
- Research and evaluate potential suppliers.
- Develop bid documents and supplier bid lists to obtain competitive quotations for BCP projects.
- Maintain accurate records and documentation for all requests, solicitations, responses, purchases, contracts, deliverables, payments, and correspondence.
- Ensure timely orders and deliveries of required products and services.
- Ensure procurement compliance with BCP, GRZ, and other stakeholder requirements.
- Maintain an accurate register of all company contracts and lease agreements.
- Monitor supply market trends, identify.
- Collaborate with BCP HQ and regional site offices/teams to ensure timely delivery of goods and services.
- Coordinate with technical staff for timely support and the preparation of comprehensive procurement documents.
- Undertake any additional tasks assigned by the supervisor.
PROBLEM SOLVERS WANTED.
- Bachelor’s degree/Diploma in supply chain management (Level 5).
- 2+ years of experience as a procurement officer or in a similar position.
- Must be a registered member with the Zambian Charted Institute of Purchasing and Supply or Chartered Institute of Purchase and Supply.
- Proficiency in Microsoft Office and purchasing software.
- Strong communication and negotiation skills.
- Good analytical and strategic thinking skills.
- Supervisory and management experience.
- Attention to detail.

- Comprehensive Stores Reporting: Diligently preparing detailed reports on the status of store activities, ensuring transparency and accountability in all aspects.
- Adherence to Policies and Procedures: Ensuring strict compliance with the company’s procurement, stores, and fixed asset policies and procedures, fostering a culture of consistency and reliability.
- Thorough Inventory Management: Overseeing inventories with precision, accurately maintaining correct purchase and pricing records, guaranteeing a streamlined and organized procurement process.
- Supplier Relationship Management: Actively managing and updating supplier information, including qualifications, delivery times, and product ranges, to build and maintain strong, positive supplier relationships.
- Efficient Goods Handling: Expertly receiving, recording, and raising goods received notes, ensuring smooth and error-free processing of incoming goods.
- Collaborative Coordination: Collaborating with end-users to coordinate the timely courier of store items to various BCP sites, facilitating seamless distribution.
- Asset Verification and Register Maintenance: Conducting thorough asset verifications at all BCP sites and meticulously maintaining and updating the assets registers within the systems.
- Disposal Recommendations: Actively raising recommendations for the disposal of items, contributing to efficient asset management and optimization.
- Maintenance and Repairs Oversight: Taking charge of the maintenance and repairs of all company assets, including meticulous record-keeping, ensuring longevity and optimal functionality.
- Issuing and Organization: Skillfully issuing items from stores, arranging items efficiently, and labeling shelves in the warehouses for easy retrieval.
- Record-keeping Excellence: Maintaining detailed records of all repairs conducted, fostering accountability and traceability.
- Requisition and Expedite: Proactively preparing requisitions for the reorder of consumables and housekeeping items, expediting pending orders and ensuring timely deliverie.
- Flexibility and Initiative: Displaying a willingness to take on any assigned tasks with enthusiasm and efficiency, showcasing adaptability and a proactive approach.
- Human Resource Support: Raising requisitions for casual labor when needed, contributing to a well-rounded support system for operational needs.
