A Lusaka Based company seeks to employ a qualified and experienced individual to fill the position of Operations and Logistics Officer to be based in Lusaka.
ROLE PROFILE
Location: Lusaka, Zambia
Reports to: Country Director
Job purpose
Reporting to the Country Director, the Operations and Logistics Officer will support the Country Director through planning, coordinating, and monitoring logistics operations such as inventory, distribution, transportation, and supply chain processes.
Communicating effectively with clients and responding to their requirements
Ensure dynamic communication with all external, internal parties and other relevant stake holders to ensure smooth operations.
Developing transportation relationships
To monitor GPS.
To ensure that all trucks are on route all the time.
Responsible for ensuring that drivers report on time and are always present at the trucks at offloading and loading points to avoid delays.
To ensure that all drivers start off and park at instructed time.
To ensure that all trucks are dispatched from the yard on time.
To ensure that all problems facing drivers are reported to management on time for timely resolution.
To ensure that all drivers adhere to statutory speed limits.
To ensure that communication between the office and drivers is constant.
To ensure that all management decisions are communicated to drivers without delay.
To Monitor delivery locations and details
Ensuring strict compliance with company and statutory regulations such as all safety standards, laws, and policies by drivers.
Developing and presenting daily tracking reports
Ensure drivers expense for traveling out and back and value of goods loaded is being recorded.
Assess budgets against weekly mileage covered with cost of fuel used to ensure cost optimization.
Coordinate with Workshop between any fleet breakdowns as well as accidents to optimize turnaround time for vehicles to be roadworthy.
Ensure that all motor vehicles are clean, road worthy (valid road tax, fitness and insurance)
Manage daily activities of logistics team of drivers and ensure optimal performance through talent development, mentorship and leadership of a team.
Take lead to coordinate claims for any unforeseen accidents or fraudulent activities with drivers, as well as vehicles across the entire company.
Required to be available 24/7 via phone, to address any concerns from drivers.
Ensuring operations are cost-effective and runs smoothly and efficiently while increasing sustainability and customer satisfaction.
Reviewing supplier documentation/orders and shipping documents to ensure accuracy.
Responsible for ensuring that the relevant daily status update is reflected per vehicle.
Making sure all trucks dispatched have all papers required.
Identify areas of improvement within the process
Raise escalations to management.
Coordinate with direct report lines.
Preparation of tracking reports, accident reports and other reports required internally or externally.
ensure correct and appropriate vehicle for each activity.
Prepare accurate reports at agreed frequencies for distribution to external and internal parties.
Perform any other duties assigned by the management.
Key Qualifications & Requirements
Must have excellent communication skills, attention to detail and at least 3 years’ experience in a similar role,
Grade 12 and must possess a Diploma in Transport and Logistics or better an added business course will be an advantage.
Outstanding analytical, problem solving and organizational skills.
Demonstrate strong attention to detail in order to oversee daily operations and logistics employees.
Ability to work under pressure and to tight deadlines.
Resilience and resourcefulness.

High level of interpersonal skills.
