Job description:

PURPOSE

The Administration, Travel and Accommodation Officer is responsible for Charter flight bookings, arrangement of accommodation and car hires, conference bookings, check invoices and raise purchase orders in the system and maintain a harmonious relations with all service providers.

 

KEY RESPONSIBILITIES

This position will be required to adhere to all relevant requirements, policies, procedures and legal regulations pertaining to health, safety, environment and quality, as well as finance, human resources, and any other regulations as required by the company and relevant to the level of the role and responsibilities of the function.

  • Organise and Schedule all the local Charter flight bookings for KMP and FQM employees/families coming to and from Zambia.
  • Liase with Charter Staff on any omissions on the manifest
  •  Arrange accommodation and meals.
  • Arrange for Car hire with service providers
  • Arrange for conference bookings for KMP meetings outside the Plant area
  • Check and ensure that invoices from the service providers and contractors are correct.
  • Raise purchase orders in the system to prepare payments for service providers.
  • Weekly maintenance of invoices from service providers and other contractors.
  • Co-ordinating with the drivers on Airport transfers including visitors.
  • Perform other duties as may be required by Management from time to time

 

QUALIFICATIONS

  • Grade 12 School certificate or Ordinary level certificate
  • Diploma in Travel and Tourism.
  • Certificate in Accounting will be an added advantage
  • Computer Literacy
  • Administrative experience

 

EXPERIENCE

  • Knowledge of tourism and travel industry
  • Knowledge of First Aid
