The Zambia Institute of Purchasing and Supply (ZIPS) was established by an Act of Parliament No. 15 of 2003 on 20th September, 2003. As a professional regulatory body, ZIPS is responsible for regulating, training, promoting, and advancing best practices in supply chain management. The institute also collaborates with stakeholders to enhance sustainable socio-economic development in Zambia. Applications are invited from suitably qualified and experienced individuals with a vision to excel in the following positions:-

FINANCE AND ADMINISTRATION MANAGER (01)

JOB PURPOSE

The Finance and Administration Manager will be in charge of overall management of the Zambia Institute of Purchasing and Supply (ZIPS) financial and administration in consultation with the Registrar and the National Treasurer

JOB ACCOUNTABILITIES

Working under the supervision of the Registrar, the specific responsibilities of the Finance and Administration Manager shall be:

  • Budget preparation and monitoring
  • Effectively manage payables and receivables;
  • Timely preparation and submission of monthly, quarterly and annual financial statements and reports for audit certification:
  • Ensure formulation of accounting policies and standards that are in line with the international standards;
  • Ensure all cash received agrees with the banking summary report prior to banking and ensure that all monies received are banked in the respective bank accounts:
  • Agree, monitor and review performance of subordinate staff to ensure that they work towards meeting performance objectives,
  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes
  • Recruit and train personnel and allocate responsibilities and office space
  • Assess staff performance and provide coaching and guidance to ensure maximum efficiency
  • Ensure the smooth and adequate flow of information within the company to facilitate other business operations
  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary provisions
  • Monitor costs and expenses to assist in budget preparation
  • Facilities management
    Organize and supervise other office activities (recycling, renovations, event planning etc.)
  • Ensure operations adhere to policies and regulations:and
  • Perform any other duties assigned by the Registrar.

QUALIFICATIONS AND EXPERIENCE

  • Full Grade 12 Certificate with 5 credits including Mathematics and English
  • ZICA/ACCA/CIMA
  • Bachelor’s degree added advantage
  • 5 years’ experience of which 2 must be at Management level
  • Proficiency in working with accounting packages
  • Paid up member of the Zambia Institute of Chartered Accountants
