Job Summary:
We are seeking a young, experienced and dedicated Finance and Administrative Assistant to oversee the daily administrative needs of Total Transformation Investment Limited.
TT is a business located in Ibex Hill Lusaka and focused on beauty care including hairstyling for both sexes and sales of beauty products.
The ideal candidate should have strong leadership skills, excellent time management, and a keen understanding of salon services and business operations.
Duties and Responsibilities:
A. Financial management
· Recording invoices in the invoice book and in the computer accounting package.
· Capturing payments and receipts in the accounting package.
· Filing of accounting documents.
· Writing weekly and monthly revenue and expenditure reports.
· Performing bank reconciliations.
· Updating the cashbook with bank statements.
· Accounting for and maintenance of petty cash float.
· Daily data input of operational transactions.
· Timely preparation and payment of staff salaries and statutory payments(Taxes, NHIMA, PACRA etc), and financial reports
Administrative role
· Manage the salon’s booking and appointment system by ensuring efficient scheduling with clients and staff.
· Ensure the Update and management the salon’s social media accounts by monitoring posts and providing regular updates, promotions, and engaging content, and respond to social media inquiries and comments.
· Ensure remittance and compliance with all obligations-rents, tax, refuse collection, NHIMA, NAPSA e.t.c.
· Maintain staff records and appropriate filing of all official documents including staff, employee contracts, salaries, Leave, and working schedules, proof of compliance with statutory obligations
· Promote/market services, products and discounts
· Ensure appropriate filing of receipts,
· Provides regular reports as directed by senior leadership
REQUIREMENTS
· Experience – at least 2 years of proven experience working as an Administrative Assistant or similar role
· Educational qualifications – Diploma in Business Administration, Office Management, Accounting or related field,
· Computer literacy with proficiency in Microsoft Office package
· Experience in managing organizational social media platforms to create awareness for products and services
· Experience working in a beauty care organization is an advantage
