Job Title: Administration and Operations Associate

Location: Head Office, Lusaka, Zambia

Expected Travel: National travel may be required (10%) including to remote districts

Position Overview

Copper Rose Zambia (CRZ) is looking for an Admin and Operations Associate who will provide efficient and effective administrative and operational support to the Finance and Operations Department and the CRZ team. The successful candidate will implement and manage various administrative, operations, and financial procedures in compliance with all CRZ policies.

Main Duties

  • Develop and use sound administrative systems.
  • Assist in coordinating local staff travel and accommodation bookings and arranging logistics for meetings and conferences.
  • Maintain a tracking system for all office utilities and all outstanding bills.
  • Ensure that systems are in place to manage office furniture, buildings, and vehicles for day-to-day operations.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders for supplies.
  • Keeping track of all receipts and issues as well as conducting monthly stock counts.
  • Spearheading all maintenance and repair needs across all the offices and the contents of the offices.
  • Ensuring that there are adequate office supplies for staff to use during working hours.
  • Ensuring that the offices are well-maintained and thoroughly cleaned.
  • Ensuring that offices are safe for use and the organization is compliant with the relevant authorities and safety regulations.
  • Supporting with receiving Goods Received Notes, receipts for project and operational purchases and following up with suppliers where necessary.
  • Supporting the management of office utilities and ensuring that all outstanding bills are paid in a prompt manner.
  • Supporting with the completion of Purchase Requisitions for admin-related procurement.


  • Bachelor’s degree in Business Administration, Public Administration, Business Management, or related fields with merit or better.
  • Grade 12 certificate with 5 ‘O’ levels; Merit or better in Mathematics and English Language.
  • Strong computer skills including Microsoft Office Suites and google workplace applications.
  • 1 – 2 years of proven experience in administrative or operations related roles.
  • Working knowledge of office equipment (e.g., printers).
  • Problem-solving mindset and the capacity to adapt to changing situations.
  • Demonstrated integrity and work ethic; able to handle a variety of assignments sometimes under pressure of deadlines.
  • Excellent general administrative skills, including excellent judgment and attention to detail.
