Key Purpose:

The key purpose of this role is to report to the Legal Counsel.

Key outputs and responsibilities:

  • Following up on instructions received from the Transfer Secretary to be processed by the bank.
  • Processing and following up on payments and maintaining an accurate record of payments made.
  • Maintaining the diary for the department (including court cases and liaising with witnesses)
  • Filing documents at the Companies Registry and any other regulatory bodies as directed
  • Completing secretarial documents and forms as directed
  • Liaise with the Risk Department and plants and depots to ensure that all regulatory licenses are in place.
  • Maintaining logs (contracts, shareholder requests and queries, payments, rates paid and Company licenses)
  • Maintaining a log of documents kept in the safe and logging documents in and out as requested by departmental users.
  • Up-dating status reports as directed by the Legal Counsel (for court cases, product liability matters, competition investigations)
  • Minute taking for sundry meetings (e.g. Product Liability Committee) and follow up on matters arising.
  • Making travel arrangements as requested and assisting with organizing Board Meetings and Annual General meeting.
  • Filing documents as directed by the Legal Counsel (including soft copies), scanning and indexing for archiving.
  • Any other duties as requested from time to time by the Legal Counsel.

Minimum Requirement:

  • Grade 12 Certificate
  • Diploma in business related subjects desirable
  • At least 3 years’ experience in a business environment
  • The ability to work with limited supervision
  • Good organizational and communication skills
  • Able to show initiative and to be proactive in problem solving
  • Computer literate
