Job Description

As an Administrative Assistant at A Chance for Change Foundation, you will play a crucial role in supporting the organization’s daily operations and ensuring efficient administrative processes. This position is based in our new office in Chinsali, Muchinga Province, and will involve an on-site work arrangement.

Key Responsibilities:

Office Management:

  • Maintain a clean and organized office environment.
  • Monitor and replenish office supplies as needed.
  • Coordinate office maintenance and repairs.

Administrative Support:

  • Assist in scheduling meetings and appointments for staff and management.
  • Handle incoming and outgoing correspondence, including email and postal mail.
  • Prepare and edit documents, reports, and presentations as required.
  • Maintain electronic and physical filing systems.

Communication:

  • Serve as a point of contact for visitors and callers, providing information and assistance as needed.
  • Manage and respond to general inquiries via phone, email, and in person.
  • Assist in updating and managing the organization’s website and social media accounts.

Data Entry and Record-Keeping:

  • Enter and maintain accurate data in databases and spreadsheets.
  • Assist in maintaining donor and supporter records.

Event Support:

  • Assist in organizing and coordinating events, workshops, and fundraising activities.
  • Prepare materials and logistical support for events.

Financial Administration:

  • Assist in basic financial tasks, such as expense tracking and petty cash management.
  • Collaborate with the finance team to ensure accurate record-keeping.

Qualifications:

  • High school diploma or equivalent; additional education or training in office administration is a plus.
  • Proven experience in administrative roles, preferably in a non-profit or similar setting.
  • Proficiency in Microsoft Office Suite and basic computer skills.
  • Strong communication skills, both written and verbal.
  • Excellent organizational and multitasking abilities.
  • Attention to detail and a commitment to accuracy.
  • Ability to work independently and as part of a team.
