Job description:

Purpose of the Role:

The Administrator, Access Control role will be vital to support uninterrupted day-to-day operations pertaining access control processes and procedures as well as manage day-to-day tasks which will include competency verification, access control and shutdown access support.

Specific Job Responsibilities:

  • Create Gallagher profiles for all new employees that access site.
  • Maintain and update profiles of current card holders.
  • Perform accurate execution of bulk changes performed by administrators.
  • Verify all visitor access request with supporting emails before granting access to visitors.
  • Assign driver visitor cards to all drivers entering site for deliveries based on pre-alerts.
  • Verify and maintain compliance of competencies.
  • Record and assist individuals entering site for inductions and subsequently liaise with training to confirm compliance before assigning access cards.
  • Assign access in accordance to approved access zones.
  • Prepare Shutdown lists, cards and profiles for shutdown contractors entering site.
  • Coordinate shutdown card collection alongside planning and safety teams.
  • Prepare access reports for shutdown card issuing activities.
  • Generate Gallagher report upon request.
  • Frequently review Gallagher data to ensure accuracy.
  • Update contractors access in line with contract terms.
  • Address queries directed to the Main Gate Access team.
  • Perform background checks and clearance procedures based on HR requests, Shutdown requests and for all new contractors.
  • Keep stock of the Main Gate stationary, card printing consumables and cleaning material.
  • Keep stock and prepare monthly reports of all unreturned cards.
  • Manage lost card process.
  • Liaise with Technical team to resolve any software or hardware of Main Gate systems.
  • Work hand-in-hand with the officers assigned to the Reception and Main Gate area.
  • Be accountable for the quality of service and performance.


Qualifications & Experience:

  • Grade 12 Certificate.
  • A minimum of 2 years related experience.
  • Degree in Business Administration, Human Resource, Public Administration or related field.
  • Proficiency in Microsoft office.
  • PowerBI experience will be an added advantage.
  • Must be familiar with safe working practices.
  • Pronto experience.
  • Gallagher Software experience will be an added advantage.


Knowledge & Skills:

  • Ability to show initiative and have good interpersonal skills.
  • Must have good communication skills in the English language with an emphasis on writing skills.
  • Must be able to coordinate administration of access control processes and procedures effectively and efficiently.
  • Must be able to liaise with end users and other stakeholders to support the operation’s effectiveness and efficiency.
  • Must be able to identify data, process irregularities, and report this to the Supervisor timeously.
