Job description:

Position Overview:

The role involves maintaining an organized workplace, recording health assets, raising purchase orders, and collaborating with commercial teams to ensure timely delivery of health assets. Maintaining a supportive team work environment with the clinical asset department.

Specific roles include:

Perform general administrative tasks as needed to support the smooth operation of the health services department and commercial activities.

  • Ensure timely procurement of health assets in compliance with procurement policies.
  • Maintain accurate records of procurement activities, including but not limited to all supplies and company assets.
  • Ensure timely delivery of goods and services and resolve any delivery discrepancies.
  • Act as the point of contact for warehouses on-site regarding health department orders.
  • Collaborate closely with commercial teams in Zambia and South Africa to ensure timely delivery of health assets and medical consumables.
  • Ensure the items, products and supplies received meets the company’s quality standards.
  • Raise purchase orders and pick slips on behalf of the health team through different warehouses (FQMO, KML, and KMP) using ERP System, Pronto.
  • Establish and maintain relationships with identified service providers.
  • Ensure compliance with healthcare regulations, procurement policies, and commercial standards.
  • Work with the team to meet deadlines and complete duties as required.

Qualifications

  • Minimum Grade 12 Certificate
  • Business Administration, Supply Chain management, or a related field.
  • Proven experience (5+ years) as an administrator or similar role.
  • Familiarity with procurement software and systems. (OMNI , Pronto)
  • Attention to detail and ability to work under pressure.
  • Knowledge of procurement regulations and ethical standards.

General

  • High level of written and spoken English.
  • Proficiency in computer skills, including MS Office, Procurement Software, ERP Systems.
  • Analytical and problem-solving skills.
  • Ability to work independently and collaboratively in a team environment.
