Job description:

Specific Job Responsibilities:

  • Generate and prepare data reports for all software the department uses.
  • Draft and prepare daily, weekly and monthly reports supporting monitoring activities.
  • Liaise with end users and other stakeholders regarding data reports and resolve related issues.
  • Monitoring data to ensure data integrity is maintained.
  • Maintain databases, registers and spreadsheets.
  • Generate purchase orders in Pronto.
  • Generate pick slips in Pronto.
  • Monitor stock and coordinate replenishment to ensure correct stock levels are maintained.
  • Assist in preparing and reviewing other departmental reports.
  • Respond to requests to update or maintain data and communicate changes to relevant stakeholders.
  • Maintain any other administrative duties in the department.
  • Manage timesheets for the department.
  • Update leave / payroll management by providing the department with relevant employee information.
  • Book various travel arrangements internally, from travel to processing expenses.
  • Act as the point of contact for internal and external clients.
  • Other duties as instructed by the Supervisor.

 

Qualifications & Experience:

  • Grade 12 Certificate.
  • A minimum of 2 years related experience.
  • Degree in Business Administration, Human Resource, Public Administration or related field.
  • Proficiency in Microsoft office.
  • Gallagher Software experience will be an added advantage.

 

Knowledge & Skills:

  • Ability to show initiative and have good interpersonal skills.
  • Must have good communication skills in the English language with an emphasis on writing skills.
  • Must be able to coordinate administration within the department effectively and efficiently.
  • Must be able to liaise with end users and other stakeholders to support the operation’s effectiveness and efficiency.
  • Must be able to communicate exceptionally well in English.
  • Must possess an advance knowledge of English vocabulary.
  • Good knowledge of HR Systems.
  • Ability to show initiative and have good interpersonal skills.
