Job Description
Job Title: Human Resource Officer
Department: Administration
Designation: Head Office
Reporting To: Head of Operations
Job Purpose:
Human Resources Officer will be responsible for overseeing personnel and daily
operations of the human resources department. The Job Holder will oversee all
aspects of human resources practices and processes to ensure efficient HR service
delivery.
Key Responsibilities:
Recruitment and On-boarding
Support the recruitment and selection process by sourcing top talent,
conducting interviews, and coordinating the onboarding process for new
hires, orientation programs, paperwork, and training schedules.
Execute training and development programs in order to provide the
organization with required skill mix and experienced manpower.
Coordinate Performance Appraisals in order to ensure enhanced performance
as well as to establish training needs.
Follow-up progress on employees undertaking training and development
programs and appraise superior to ensure attainment of intended objectives.
Records Management and Documentation
Maintain accurate and up-to-date employee records in compliance with
company policies and legal requirements both Physical files and System files
Assist in the Preparation and distribution of HR-related documentation, such
as employment contracts and policy manuals.
Assist with document Preparation and inputs for payroll information
submissions to Accounts Department.
Works with Admin Officers to ensure all employee records are up-to-date and
filed on employee files.
Ensure disciplinary documentation is correctly captured filed and updated.
Performance Management
Support the Probationary evaluation process by providing relevant data and
assisting the Supervisors during the reviews.
Provide guidance and support to managers and employees on HR-related
matters, including performance management, employee relations, and conflict
resolution.
Compliance
Conversant with the registration processes with the Following institution: ZRA,
NHIMA, NAPSA e.t.c
Good understanding of the Zambian Labour laws and up-to-date with current
affairs Human resource systems.
Work closely with the Service Delivery Department team to build systems that
improve HR service delivery.
Monitor and ensure the correct usage of the time and attendance system.
Administration Task
Manage the Administrative management tool for office inventory
consumables (Stationary and Consumable)
Assist the Conveyancing Officer in filing all legal documentation and are well
secured.
Business performance Management
Liaise with statutory bodies to ensure Human Resources policies are in
conformity with relevant labour provisions.
Qualification and Requirements:
Diploma or Bachelor’s degree in human resources, Business Administration, or a
related field.
1 to 2 years proven experience as an HR Officer or similar role, demonstrating a
strong understanding of HR best practices and Zambian Labor Laws.
Excellent communication and interpersonal skills to build rapport and effectively
address employee concerns.
Strong problem-solving abilities with a proactive and solution-oriented mindset.
Ability to handle confidential information with utmost integrity and discretion.
