General duties and responsibilities

The duties and responsibilities are wide but are not limited to the following

  • Prepare the annual cycle count plan for all items in the store and present it to procurement management for approval.
  • Receive the closure reports of the cycle count from the store personnel.
  • Report the results of the monthly count to the Management every month through the Finance Manager.
  • Report to the Procurement Manager / Finance Manager the supported necessity to make an inventory adjustment
  • Ensure that materials have the corresponding storage conditions suggested by manufacturers, as indicated in the technical sheet.
  • Inspect deliveries for damage or discrepancies; report those to accounting for reimbursements and record keeping
  • Receive trucks and the cargo corresponding to the purchase orders sent to suppliers.
  • Process complains to suppliers due to discrepancies in purchase orders.
  • Process warranty claims. Keep track on them and keep user informed.
  • Evaluate cycle count closure reports and prepare a Memorandum directed to the Procurement Manager / Finance Manager
  • Process and generate reports of the articles under the cycle count policy.
  • Manage and control the fuel installation inside the warehouse.
  • Manage and control the fuel usage and issues with analysis of the average usage per machine / Vehicle.
  • Prepare information for Warehouse Expenses Budget, manage and control Budget.
  • Maintain receipts, records, and withdrawals of the stockroom.
  • Ensure adequate record keeping and manage all documentation to confirm proper stock levels and maintain inventory control
  • Forecast supply and demand to prevent overstocking and running out-of-stock (OOS)
  • Place orders to replenish merchandise as needed through the procurement department
  • Track shipments and address any delays
  • Coordinate regular inventory audits
  • Liaise with warehouse staff and other internal teams to test products’ quality (status upon delivery and storage conditions)
  • Ensure purchases do not exceed budget
  •  Coordinate with accounting personnel the tasks and actions to take for the warehouse end of month.
  • Realize small purchases in order to buy locally non-relevant articles for the operation.
  • And any other duties assigned

General education and experience

  • Grade 12 School Certificate or equivalent
  • At least Diploma or Degree in Purchasing and Supply or Stores Management.
  • Should be a member of the  Zambia Institute of Purchasing and Supply
  • At least two-year relevant experience.
  • Knowledge of warehouse practices and procedures.
  • Strong communication and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Computer literacy and Numeracy skills .
