Operations Assistant One (1) 

Reports To: The Operations Supervisor

The Operations Assistant will function as a support personnel in the operations office. The position requires management of relevant processes and associated documentation for essential operations systems. The candidate will take the lead in planning, organizing and managing the work to ensure that everything is accomplished in a manner consistent with the organizational requirements.

1. Develop an understanding of the process involved in the role.
2. To follow quality service standards and to comply with the company’s procedures, rules and regulations.
3. From time to time send comprehensive drivers details to clients.
4. To receive and send proof of payment to clients and send pre-alerts to agents.
5. Carry out administrative duties, such as scanning , typing, binding, proofreading, correspondence, etc.
6. To ensure timely dispatching of documents.
7. Responsible for reviewing, verifying, and reconciliation of cargo documents.
8. To ensure that all receipts are received, distributed and well organized.
9. From time to time, assist with receiving and checking Proof of Delivery (PODs) from drivers who are coming back from trips, ensuring that all PODs are complete.
10. Ensure that all relevant records are captured and maintained manually and electronically.
11. Daily submission of tracking reports.
12. From time-to-time work in the reception when need arises.
13. To perform a variety of routine duties as assigned by the supervisor.


Candidates will be assessed against the following:

· A Grade 12 School Certificate with at least 5 credits or better.
· A degree in any relevant discipline or equivalent vocational experience in Transport / Logistics.
· Knowledge of the transportation industry will be an added advantage.
· The suitable candidate must be proficiency in MS Office (MS Excel and MS Word, in particular).
· Excellent time management skills and the ability to prioritize work.
· Strong organizational skills with the ability to multi-task.
· Good command of English and fluent in Bemba and Nyanja.
· Ability to priorities contending demands.
· Deadline oriented and good intuition to make crucial judgement calls.
· Strong team player with high team spirit and positive attitude.
· Productive and responsive to instructions and regulations.
