EMPLOYMENT OPPORTUNITIES

The NAPSA staff Pension Scheme wishes to recruit Staff Personnel to fill up the available vacant positions on permanent and pensionable terms, to be based in Lusaka. The Staff Pension Scheme is an independent institution from the National Pension Scheme Authority. The successful applicants will need to demonstrate relevant experience of having worked in a similar environment.


1. PERSONAL ASSISTANT (GRADE SPF4)

MAIN PURPOSE OF THE JOB
To provide administrative support as well as confidential and personal secretarial services to the CEO in order to facilitate the smooth operation of the office.

KEY RESPONSIBILITIES

  • Assist the team in running the office by attending to routine administrative matters such as staff welfare and stationery.
  • Analyse and recommend the purchase of small capital items for the effective operation of the Scheme.
  • Organize logistics and travel arrangements of Trustees and members of staff.
  • Draft standard letters, acknowledgments in reply to correspondence, invitations, and queries for the Chief Executive Officer.
  • Ensure office ambience is maintained at all times.
  • Prepare summaries of outstanding board tasks and make follow-ups with superiors to ensure that the assignments are undertaken.
  • Establish efficient records management for the Scheme.
  • Compute and maintain staff leave days.
  • Take minutes for Management and other similar meetings.
  • Consolidate and prepare the Board and Committee packs.
  • Coordinate Committee and Board meetings.
  • Prepare and follow up documentation for exited members to facilitate prompt payment of their benefits.
  • File and update contact information of employees, customers, suppliers, trustees, and other stakeholders.
  • Provide refreshments for the CEO’s office and meetings.
  • Perform any other duties as may be assigned.

ACADEMIC QUALIFICATIONS

  • Grade 12 Certificate with 5 ‘O’ levels, with credit or better in Mathematics and English.
  • Diploma in Secretarial Studies with a minimum of four (4) years post-qualifying experience.
  • Bachelor’s degree in Management Studies/Social Sciences or equivalent will be an added advantage.
