Public Relations Assistant (Travel Affairs Specialist)
The National Assembly of Zambia invites applications from suitably qualified and experienced candidates to fill the position of Public Relations Assistant (Travel Affairs Specialist) (x1)
a. Main Duties and Responsibilities
- Organise and book domestic and international travel for MPs, staff and delegations:
- Manage flight bookings, hotel accommodation, and ground transportation:
- Ensure adherence to travel policies, budgets, and timelines;
- Assist with the preparation of travel documentation, including visa applications, passports, and permits.
- Ensure compliance with relevant regulations and travel restrictions:
- Prepare detailed itineraries for MPs and staff, including flight schedules, accommodation details. meeting arrangements, and other relevant travel information.
- Track and manage travel expenses, ensuring that costs are within allocated budgets.
- Process travel reimbursements and maintain accurate records of all travel-related expenses:
- Serve as a liaison between the National Assembly, travel agencies, airlines, hotels, and other service providers.
- Provide on-the-ground support for MPs and staff during travel, including resolving any issues that arise:.
- Maintain accurate and up-to-date records of all travel arrangements and expenses;
- Provide regular reports on travel activities and costs to management: and
- Perform other duties as assigned by the supervisor.
b. Qualifications and Experience
- Grade 12 School Certificate:
- Diploma in International Air Travel Association (IATA). Travel and Tourism, Diploma in Business Administration, or related field.
- At least two (2) years working experience in a similar field: and
- Proficiency in one of the internationally recognized languages is an asset.
